The reason exco meetings get heated
Nothing here is exotic. It is what happens when an estate's money runs on a group chat, a spreadsheet and one person's goodwill.
A reminder goes out on WhatsApp with a different account on it. By the time anyone checks, three households have paid a stranger.
The same person raises the bill, confirms the payment, approves the spending and signs at the bank. Nothing is wrong until it is.
The diesel figure in the spreadsheet is not the figure that was read at the AGM, and nobody can prove which came first.
Decisions are taken, the levy rises, and two months later a resident asks whether quorum was ever met.
Where the money sits
Dues move from the resident to the association's own corporate account. Ilé sits to the side of that line: it records, reconciles and reports. Your signatories still sign at the bank exactly as they do today.

Service charge, security levy, diesel and the development levy sit in ring-fenced funds. The ledger is append-only and hash-chained; corrections are reversal entries, never edits. Closed months stay closed.
Each household can pay into its own account number, so transfers match themselves. Import the bank statement, match what's left, and produce a bank reconciliation statement every month.
Friendly reminder, formal reminder, final notice, landlord copied, defaulters register — at the days your bye-laws set. Sanctions need two approvals and lift automatically on payment or a payment plan.
Requisitions route by amount: petty cash, one A and one B signatory, three quotes, or a general-meeting resolution. The Financial Secretary records income, the Treasurer pays — neither approves their own.

Gate & security
Guards verify on a low-cost Android phone. Officers see what happened overnight before breakfast.
Visitor codes, staff IDs, move-out clearances and goods passes are signed with the estate's key and verified on the kiosk without data. Revocations sync the moment the network returns.
Guard roster and attendance against the contract, a digital occurrence book, QR patrol checkpoints with missed-round alerts, incident reports with evidence, and SOS that reaches the CSO by SMS.
Operations
Requests, artisans, assets and power in one queue the estate manager actually works from.
Every request gets a priority and a deadline. Breaches escalate to the Works chairman on their own; residents confirm fixes, and unconfirmed jobs close after 72 hours. Vetted artisans are rated by neighbours.
Supply log against your DisCo band, generator hours and litres per hour, witnessed diesel deliveries, fault escalation at 24 and 48 hours, and preventive servicing for pumps, gates and transformers.
Governance
The constitution's rules — notice, quorum, proxies, financial membership — applied every time.
Notices sent with the right number of clear days, attendance and proxies against the financial-member register, motions and votes recorded live, and numbered resolutions every module can cite.
Receipts, statements, clearance letters, staff IDs and minutes extracts carry a serial number and a QR code. Anyone can scan it to confirm the document is genuine and hasn't been withdrawn.
Privacy notice, retention periods for visitor, staff and guarantor data, a log of data-subject requests, and a one-click export of everything the estate holds about a person.

What counts as a unit? Each standalone house or individual flat is one unit. A block of 10 flats is 10 units. Undeveloped plots and vacant units are not charged.
Indicative — the figure is confirmed with your exco before anything is signed. Excludes 7.5% VAT. Ilé takes no percentage of the dues your estate collects.
